Employee File Requests


Under the freedom of information act every employee of the university is entitled to see their employee file.  This file contains all the relevant documentation showing the career path of an individual from initially applying for a position in the university up until they either become a pensioner or leave the university.

How to Request Your Employee File

Step 1: Download and complete the Employee File Access Request Form.

Step 2: Send the form to HRIS. This can be done by scanning and emailing it to or by sending the request by post. Your completed form must be accompanied by a scan or copy of your photo ID (passport, driving licence or UCD staff card).

Note: All replies to employee file access requests will be dealt with by email. Please ensure you have a valid email address to receive a copy of your requested information.

How long do I have to wait to view my file after requesting it?

Once a request for a file has been received by the HR Records Officer the file can be viewed within 48 hours.
