There is an annual allocation of funding from the HEA for Erasmus teaching staff exchanges.  As there is not always a possibility to get additional funding, it is important to notify the International Office as early as possible if you wish to go on such an exchange.

The following five documents must be completed for Teaching Staff exchanges:

  1. Completed and endorsed work programme for the exchange
  2. Completed financial agreement as required by the HEA
  3. Certificate of Participation completed by host institution
  4. Receipt for mobility grant
  5. Teaching Staff report form

The first two documents should be completed before you travel.

Note 1 - Please note that the UCD subsistence rates do not apply; there are specific EC rates for these exchanges.  Please contact the International Office for an estimate of the funding available.

Note 2 – At present, the HEA will fund only one week of a Teaching Staff exchange.  While further funds may be forthcoming during the year, staff should not depend on receiving more than one week’s grant.

Administrative Staff

Since 2007, the Erasmus exchange programme now provides funding for administrative staff to spend 1-6 weeks (in certain cases, a shorter period may be permitted provided a justification can be made) on exchange in another university. Travel must be arranged by 30 June each year and take place by 30 September.

There is no list of approved partners, so staff are free to attend an institution of their own choosing.  However, partner institutions must hold an EUC (Erasmus University Charter).  If in doubt, please contact the International Office for clarification.  They must also be in the EU, EEA or Iceland, Liechtenstein, Norway or Turkey.

Partner institutions must agree and endorse a work plan in advance of travel.  Staff must obtain the agreement of their Head of Unit for the training.  Heads of Unit must agree to host a training visit, if requested, during the 18 months following their staff going abroad.

Subsistence costs are calculated on the basis of daily or weekly rates as allowed by the European Commission (ie UCD subsistence rates do not apply).  A week equals 5 working days.  Travel costs are calculated and paid on the basis of real costs.  Travel and subsistence allowances vary depending on the destination country.  Once actual travel costs are known, the full grant can be calculated.

All staff must complete the following documents:

  • Work plan
  • Report
  • Receipt
