Request a username & password to access the UCD network

Your username and password give you access to a personal UCD computer account, email and many other services on the computer network.

UCD staff and students need a username and password to use the UCD computer network. The username and password also give you access to:

  • A personal UCD computer account
  • A personal UCD email account
  • Many applications on the network.

All users of the UCD network must adhere to the 'Acceptable Usage Policy for UCD Computer & Network Systems'.

Staff

UCD IT Services are continuing to review and implement changes to  the computer accounts creation, expiration and deletion process in conjunction with UCD HR

The following is an overview of the new groupings of accounts for incoming staff since September 2010. 

As your IT account is linked directly to your HR record,  this login ID and password are available to you for the duration of your contract here in UCD.   Once you leave employment of the university, your IT account will expire after 30 days. For additional information please refer to our IT account expiration & deletion policy  

New Full time/contract staff

Non Contractual Appointee

Casual & Hourly paid

Student Employees

Other Account Types

Sponsor Accounts

Email only accounts

New Full time/contract staff

UCD IT Services will generate an account for new full time staff members, based on your completed HR information.  This account will provide access to the full range of IT Services available via UCD Connect.

Once you have your new Personnel number. please contact the Helpdesk on 716 2700 to request a new account.   

Please NOTE our new change of account collection process

From Monday 28th November 2011, you must be at a computer and have your new Personnel number and PPS number to hand when you call to request a new account. It will take approximately 5 minutes to set up your account, generate a new password and ensure you have a correctly working account by the end of the call.

For security reasons details cannot be sent via email.

Non Contractual Appointee*

UCD IT Services will generate a non contractual employee in the same manner as a full time employee account as outlined above.  This account will remain in place for the duration of the contract.

Casual & hourly paid

UCD IT Services will generate an account for Casual and hourly paid people.  This account will provide access to a very limited service but primarily access to CORE ESS.

Once you have your new Personnel number, please contact the Helpdesk on 716 2700 to request a new account.

Student Employees

All registered students do not require a "staff" type account as their student account gives the access they need to IT services and CORE ESS.

Sponsor Accounts 

Sponsored accounts are set up to facilitate people who require access to IT systems on behalf of Schools & Units and are created manually on request.

In order to apply for one of these accounts the Head of School or Unit (equivalent to Head of School) must email ithelpdesk@ucd.ie to request an account for them.

The mail should contain the following details:

  • The person's first name, middle initial, if possible, and last name
  • College and School or Department that the account will be associated with
  • Sponsors Personnel number (must be a permanent member of staff in that school)
  • Contact number or email address of the person who the account is for 
  • Expiry date (maximum 1 year)

We will then contact the person that the account is for. 


From Monday 21st May 2012:  The person for who the account is for must be at a computer in order to receive their account details.  It will take approximately 5 minutes to set up the Sponsor account, generate a new password and ensure they have a correctly working account at the end of the call.

For security reasons details cannot be sent via email.

Please note the following important information in relation to Sponsored Accounts:

By requesting a Sponsored Account for a person, the School must be aware that both the person who the account is for and the School are bound by the Acceptable Usage Policy on that account.

Unless otherwise requested, all Sponsored accounts have a maximum duration of 1 year from the time of creation.

A Sponsor Account does not provide the same access as a full staff account.

An email will be sent 30 days in advance of the expiry date to give the account holder the opportunity to extend the account for another year.

Email only accounts

Email only accounts are UCD Connect accounts that are used for handling email for a specific function.  e.g. school, college or event.  These accounts do not need access to other UCD Connect services.

 
To apply for one of these accounts, please email ithelpdesk@ucd.ie with the following information:
• Required email address e.g event@ucd.ie
• Display name e.g Event Name
• Sponsors Personnel number

From Monday 28th November 2011:  The person who has requested the account must be at a computer in order to receive the new account details.  It will take approximately 5 minutes to set up the Email Only account, generate a new password and ensure there is a correctly working account at the end of the call.

For security reasons details cannot be sent via email.

Email only accounts are open for 1 year after the time of creation.  An email will be sent 7 days in advance of the expiry date to give the account holder the opportunity to extend the account for another year.
