Sharing Files
Important Note: With regard to permissions on Files and Folders within Connect Files please note that 'Authenticated Users' means all UCD users of the Connect Files service. If the files being shared contain confidential information it is recommended that you use ticketing and password enable the ticket. If the files are Microsoft files they should also be password protected.
In order to share files with one or more users:
You can send links to files, instead of sending the files themselves. In this manner, every user is always looking at the most recent version of the file.
- Navigate to the intended file or folder.
- On the Document Manager screen place a check mark in the box associated to the file or folder, and then click the Email button.
- Click the To entry box, you may start typing a user's Display name, their username, or a Group name.
- Separate users/groups by commas or semicolons. Or, you may click the To button to Find and add users or groups.
- You may then edit the subject and body of the notification e-mail as you wish. .
- Click Send to send the e-mail.
You can provide access to your files to non-UCD user by creating a ticket.
A ticket is a web link to a file or folder. The person with whom you'd like to grant access to the file or folder will receive an e-mail with the online link. When the link is clicked, the user is taken to the Connect Files interface and the folder's file and sub-folder listing displays just as you would see it in its regular folder listing screen.
- On the Document Manager screen, Right-Click the selected file or folder, and then click the Manage -> Tickets option.
- Click the New Ticket button.
- A new window will appear with default ticket values. You may modify the following:
Permissions, Lifetime, Name, Password. When you are satisfied with the values, click OK to create the ticket. - The ticket is now listed in your Tickets screen. Place a checkmark in the box corresponding to the ticket, and then click the Email button.
