SFI requires that researchers lodge their publications resulting in whole or in part from SFI-funded research in an Open Access repository as soon as possible after publication. This applies to publications where funding has been awarded since 1 February 2009. The HEA and IRCSET have similar policies in place, effective 30 June 2008 and 1 May 2008 respectively.
SFI-funded research in the Life Sciences, is required to be submitted to PubMed Central - separate advice is available here.
All other research funded by SFI, IRCSET and HEA should be submitted to the local UCD Institutional Repository as soon as possible after acceptance for publication.
How to get your research publications into the
UCD Institutional Repository:
- Agree to the depositor licence as outlined below. This allows the Library to put your work online and allows you to continue using your work without restriction.
- If you are in agreement with the licence then click on the submission button below
- Provide a standard bibliographic citation for your article or other research output in the body of the text message, including:
- Title
- Author(s)
- Publisher
- Journal (or book if publishing book chapters)
- Volume and issue
- Date of publication, if known
- Funder (SFI/HEA/IRCSET)
- Please also provide two or three keywords to express the subject matter of the publication
- As an attachment to the e-mail please provide a copy of your final version of the article before publication, not the publisher's version. This is known as the post-print.

Please note that very few publishers allow the final publisher pdf to be loaded into the local repository. A list of publishers that allow this can be found here. If your publisher is not in this list, you will need to provide the final version before publication (post-print).
What will happen next?
Library staff will add a record to the repository for your research output and will also check up on the publishers' copyright policy regarding lodging of a local copy.
They will let you know when the item is live in the system or they will contact you as required regarding:
- Any issues about the version that you have submitted to us and different publisher requirements. More information on publisher policies can be found here
- Any embargo period which will have to be adhered to before we can make the local full text copy of the research live
- Any need for further bibliographic citation or keyword information
Depositor agreement and submission
Deposit agreement between UCD Dublin and Author/Depositor:
COVERED WORK
I would like to deposit my existing and future material in the UCD Dublin digital repository. This material, referred to below as “Work” is covered by this agreement and when I deposit my Work in the future, whether personally or through an assistant or other agent, I agree to the following:
NON-EXCLUSIVE RIGHTS
Rights granted to the digital repository through this agreement are entirely non-exclusive. I am free to publish the Work in its present version or future versions elsewhere.
I agree that UCD Dublin may electronically store, copy or translate the Work to any medium or format for any purpose, including archiving, future preservation and accessibility. UCD Dublin is not under any obligation to reproduce or display the Work in the same formats or resolutions in which it was originally deposited.
DEPOSIT IN UCD DUBLIN DIGITAL REPOSITORY
I understand that work deposited in the digital repository will be accessible to a wide variety of people and institutions – including automated agents – via the World Wide Web.
I understand that once the Work is deposited, metadata will be incorporated into public access catalogues. The author retains the right to update the Work and deposit any updated or revised text.
I AGREE AS FOLLOWS:
- Whilst UCD will make efforts to contact other right holders under standard procedures, I undertake that I have the authority of all co-authors and publishers (if relevant) to make this agreement and to licence UCD Dublin the right to make the work available to the public in the way described above;
- That I have exercised reasonable care to ensure that the work is original and does not, to the best of my knowledge, breach any laws including defamation and copyright;
- UCD Dublin is not obliged to take legal action on behalf of the depositor, or other right holders in the event of any subsequent breach of rights, including copyright or database rights, in the material deposited;
- UCD Dublin is to have the right to take down or disable access to the deposited material for any reason, including any dispute concerning authorship or the content of the deposited material.
