What
is EndNote? |
EndNote
is a software tool that manages all your references in one
place. Either enter the references manually or, when searching
databases and electronic journals, import your search
directly into EndNote. Using Word, you can insert citations
form your EnNote library and create a bibliography in any citation style you choose. |
Where
can I find EndNote? |
UCD permanent staff can download EndNote
X2 to their institutionally owned computers (PC and Mac) from Software Download in UCD Connect - Home tab.
Students and staff can use Endnote X2 as a remote application via Software for U, also accessible in UCD Connect - Home tab. This is available on and off campus.
EndNote X1 is available for students and staff on campus via NAL. |
How do I use EndNote via NAL? |
Got to Start, click on Application Window (NAL). In the new window select UCD-TREE > Networked Applications (NAL) > Graphics and Publishing > Endnote. Use the more recent version EndNote vX1.
Create a new EndNote library and save it to your H drive.

Can
I use EndNote from home? |
Yes, EndNote X2 can be used as a remote application via Software for U, accessible in UCD Connect - Home tab. |
Where
can I buy my own copy of EndNote? |
A personal copy can
be purchased from Adept
Scientific. It is possible to get a discount if you are
registered with an educational institution. |
I am a staff member. Can I download EndNote to my computer? |

Yes. Log in to your UCD Connect account. Go to your Home tab. Click on Software Download and download a PC or Mac version of EndNote X2 to you institutionally owned computer.

In
EndNote, should I use one Library or multiple Endnote Libraries? |
EndNote recommends
keeping all your references in one library. If you have several
libraries, and choose to merge them at a later date you may
have problems reformatting the records that have older references
numbers – For example where EndNote libraries are merged,
Reference #60 in a small library may be renumbered
Reference #740 in the merged library. You
will not be able to use the larger merged library to format
references from the older records |
Should I backup my EndNote library? |
There
are many ways that files can be damaged. EndNote recommends
that you back up your EndNote Library.

How do I backup my EndNote library? |
When you are making a backup of your library, make sure to copy both the .enl file (which is your library) and the .data folder (which contains your library structure and associated files).
To do this copy and paste the .enl file and .data folder to your desired location, e.g. H:\ drive, USB key.
You can also use the Save a Copy command from the File menu in EndNote to
create a backup copy of your library. This will create a copy of the .enl file and the .data folder in a selected location.
You can save your backup copy as a compressed library. Details are
available on the EndNote website.
If you are using EndNote to format citations and bibliographies in a Microsoft Word document, you should keep a backup copy of your unformatted document. |
Why can't I save my reference after entering it? |
|
When you enter a reference in EndNote there is no need to save. A new erference will be saved automatically. If you edit a reference EndNote will ask you if you want to save changes when closing the reference. |
When I save my library, I can then see both the library icon and a folder with the same name and the extension .data. What's this? |
|
The library icon is your EndNote Library. If you want to open your library, click on the library icon.
The folder with the same name and the extension .data, holds the data associated with your library. It contains the library data structure and files associated with particular references. |

Can
I “copy and paste” into EndNote? |
Yes, but be careful
to save information as plain text first, as EndNote preserves
formatting such as font style, bold, italics etc |
Can
I transfer an existing reference list to EndNote? |
If
you have a list of references in word processor format, EndNote
suggests several options for transferring them to an EndNote
library:
1. Create
a custom tagged format to Import into EndNote
Go to EndNote > Help menu,
Go to Contents > Importing Reference
Data > Creating Files That EndNote Can Import > Creating a Custom "Tagged" Format. Follow the instructions.
OR
2. Copy your reference list as a “.txt”
file
Copy/paste each part of
each reference into its corresponding field in a New Reference in EndNote.
OR
3. Search for your references again in the relevant databases
and import them to EndNote

Can
I connect from the UCD Library catalogue to EndNote? |
Yes. In EndNote X1 or higher go to Tools > Online Search ... and select U College Dublin. UCD Library's catalogue is now added to the group Online Search in EndNote. Search the catalogue using the EndNote online search feature. |
What
are EndNote filters? |
To import information
into your EndNote library you need to use Import Filters.
Some databases have built in filters, and the information
is brought directly into your library. Other databases require
that you use filters. A variety of filters
exist which correspond to various databases. Make sure to
select the correct filter. |
| How
do I import references from Pubmed into EndNote? |
Complete your search
on Pubmed. Select references to be imported into EndNote.
At the upper right corner of the screen, click Send to or the down arrow next to it.
Under Choose Destination, click the radio button next to File.
Under Format, choose MEDLINE.
Then click on the Create File button. A pop-up window will appear.
Click Save to save it as a .txt file.
Choose the .txt file you just saved for the Import Data File option.
Then choose PubMed (NLM) as Import Option.
Click the Import button.
Your references will be imported into your chosen library. |

do I import references from JSTOR into EndNote? |
To import multiple references at once from JSTOR to EndNote you need to register with JSTOR first (free registration)
Complete your search
in JSTOR. Select references to be imported into EndNote.
Click Save Citation(s) (just above the result list)
Go to MyJSTOR on top of the page and select Saved Citations.
Select the references you want to download and click on Export Citations.
Click on EndNote as export option.
If you don't want to register with JSTOR you can export references into EndnNote only one by one.
Search for references in JSTOR.
At the relevant reference click on Export This Citation.
Click on EndNote as export option.

I import references from ProCite into EndNote? |

Can I import references from Google Scholar? |
Yes, it is possible to import references
from Google Scholar to EndNote. Google Scholar must first be configured to send
references to EndNote. To do this please follow the steps outlined below.
Go to the Google Scholar home page at http://scholar.google.com/

Click on the Scholar Preferences link

Under Bibliography Manager select the option Show links to import citations into and choose EndNote in the drop down box

Click on the Save Preferences button
To import search results into EndNote:

After performing a search on Google Scholar click on the Import
into EndNote link for the reference you want to import

If you are presented with a window asking if you want to "Open" or
"Save" the file, choose to Open the file, otherwise proceed to step 7

A Select a Reference Library window will appear if you don't have an EndNote library open yet, use this window to select the EndNote library you want the reference imported into
The reference(s) should then be imported into the selected library.
You can only import one reference at the time.

EndNote includes Word templates
to guide you through the exact requirements of a wide range
of publishers. You can select a predefined template by going to Tools > Manuscript Templates ...

manuscripts are now submission-ready with all the key elements
in addition to EndNote’s instantly formatted in-text
citations, bibliography and figure list. |
What
citation styles can I use to format my paper in Word? |
EndNote
comes with hundreds of citation styles, e.g. MLA, APA, Harvard,
Chicago.
Check
the Citation style required
by your School and set up your EndNote library to reflect
this option. Alternatively, when you are
publishing material, check, using EndNote, the citation style/layout
used by hundreds of journals and use the required style when
submitting an article. |
What
should I do if EndNote hasn’t got the citation style
I want? |
Endnote supports almost
2,000 styles. Occasionally they create new
styles, and post them on their website.
If you need a new style right away, you can create one yourself. In EndNote go to Edit > Output Styles > New ... or Open Style Manager ..., edit an existing one and save it under a new name.
You could also use the
EndNote Style Finder to find a similar style and modify
it.
Alternatively consider querying the EndNote
Customer ListServ to see if anyone else has created the
style you seek. |
I want to edit an output style. What should I do? |

Go to Edit > Output Styles... Open Style Manager. Ensure that Style Info/Preview is selected in the drop-down menu in the lower right of your screen.
Select the style you would like to edit/modify and click on the Edit button.
Don't modify this style directly as you may want to use the style in its original format in the future. Instead save a copy of the style and modify the
copied style.
To save the file:

If you are using a locally installed version of the software, the style
will be saved in your Styles folder in the EndNote Program folder on your computer.

If you are accessing EndNote via NAL, you will need to save your modified
style to a location of your choice, i.e. your H:/drive. You will then need to
update your preferences so EndNote knows where to access your new style from.
To do this, select Edit > Preferences... In the Preferences window, select Folder
Locations and edit the Style Folder field, so that it now points to the folder
where you have saved your new style.

Once you have saved your file you can then modify it, by selecting Bibliography > Templates.
You can then modify how the reference will appear in the bibliography, e.g.
change how the author or editor name is displayed, change the order of the fields fo
a particular reference type.

To save your changes, select File > Save.

How do I edit a citation in Microsoft Word? (including adding page numbers, removing author/year, deleting reference) |
Once inserted citations can be edited at any time. You can add page numbers, remove the year, remove the author and delete a citation. In order to ensure that your changes are saved in Microsoft Word, always use the Edit Citation function.
To edit a citation:
Select the Edit Citations button from the EndNote toolbar.
Select the citation you wish to edit from the Citations in document area of the window.
In the Edit Citations window you can:
Add page numbers (see question below)

Remove the author or year from an inline citation. This can be done by selecting Exclude author or Exclude year check box.

Delete citations. A citation can be deleted by selecting the Remove button.

How
do I add page numbers to a citation style? |
Example: (Byrne, 2006, pp. 20 –
21)
Hint: Make a copy of the output style that
you want to change and work with the copy – it will
protect your original.
• Within Endnote go to Edit > Output Style ...
• Select Open Style Manager and select the style you want to edit
• Click the Edit button, go to Citations,
then select Templates.
• To include a comma before the page numbers, place
your cursor after year, and before the end bracket - (Author,Year)
– click on spacebar, a small dot will indicate a space
has been created |
How do I add page numbers to an inline citation? |
• First format the citation or reference.
• Highlight the citation in your Word document.
• From the EndNote toolbar, select Edit Citations.
• In the Edit Citations window, enter the page numbers in the Suffix field and not the Page Numbers field.
• Include any additional formatting, such as commas, spacing or pp. Enter the page numbers exactly as you would want the text to appear in your inline citation.
• Select OK to save the changes.

How
should I delete citations in a Word Document? |
If you use Cite While You
Write to create a citation in a word document, you
must also use Cite While You Write to edit
or delete citations you’ve added. Use Edit Citation
option in the EndNote toolbar within Word, select the citation you want to remove and click the Remove button. |
Can
I create footnotes? |
Yes.
Within Word go to Insert >
References > Footnote. Insert footnote and insert your selected EndNote reference in footnote. Your reference will appear there and also in the bibliography at the end of the paper the style that is active in EndNote.

When I open Microsoft Word I can't see the EndNote toolbar. What should I do? |

How
do I create an independent bibliography? |
Select the references
for your bibliography.
Select File > Export
Give your file a name, use .txt file extension, e.g.
Bibliography.txt
You can change the Output Style if needed.
Make sure the box Export Selected References is checked, otherwise your whole library will be exported.
Save file to your hard drive or to disc

Can
I share my references with a colleague? |
To share an EndNote library with colleagues you should use EndNote Web. You can share references with anyone who has also an EndNote Web account. |
What is EndNote Web? |
|
EndNote Web is a web-based edition of EndNote (the desktop version of this software). EndNote Web provides a "cut-down" selection of the functionality available in EndNote.
A table available at http://www.endnoteweb.com/encompare.asp provides an indication of the differences in functionality between the applications.
EndNote Web allows you to:
save references
organize and edit references
import references from databases and OPAC's
cite and format papers with bibliographies
One of the main advantages of EndNote Web is that it is available for use off-campus. |
How do I access EndNote Web? |

EndNote Web can be accessed from the Web of Knowledge database. To access EndNote Web, follow these steps:
Find Web of Knowledge in the list of library databases on the UCD Library website.

On the top menu of the Web of Knowledge homepage, there is
a link, "My EndNote Web". Click on this link and register.

You can now log in to your library.
This will allow you access to your EndNote Web library both on- and off-campus.
