The Online Student Enquiry

The Online Student Enquiry is a web resource which lists comprehensive details of all students' records in one convenient place. It currently includes each student's photo, contact details, Programme summary, current registration and academic history and will be developed further to facilitate many of the key student activities supported by Programmes and Schools.

What are the benefits of this service?
This service compliments the SWGENQY Student Enquiry Screen in Banner in a number of ways. These are:
  • Greater ease in terms of searching for students by name, as opposed to student number. Enter either the name or student number in the 'Select Person' field and press 'Search'. This will provide you with immediate access to a student’s record, or offer a list of potential candidates if you are searching for a common name (eg John Byrne)
  • The automatic inclusion of the student's photo without having to click to an alternative screen
  • All pertinent details from the student record in one location, with no need to navigate between multiple screens
  • A more comprehensive listing of student's modules in both registration and academic history, including information such as semester, level and stage
  • A student's full Programme summary by term, which is visible in one location with no need to scroll between terms
Moreover it provides a platform which will be tailored to provide specific assistance with many key businesses, particularly in the area of supporting 'lost' students. To this end, it will be expanded on an ongoing basis, with the additions tracked on this website. Administrative Services will be working closely with stakeholders in School and Programme Offices on this and will keep you informed of all key developments.
Who has access to this service?
All staff with a role in supporting students can view this page.

Moreover, students have access to view their own records through SIS Web. See http://www.ucd.ie/students/myrecord.html for details. It is noteworthy that the platform has been created such that sensitive sections can be made available to certain viewers only (eg available to staff, but not students)
Where can I access it?
TheOnline Student Enquiry is available through the Students tab in Infohub under the Student Enquiry link. Selecting this link brings staff members to a prompt page where a student’s number or name can be entered. Upon selecting the appropriate student, high level information such as photo and contact details is displayed. Selecting the More Details link extends the page to return the full student record.
What information is available?
Currently the report lists the following information per student type:
  • Undergraduate, Erasmus, Study Abroad & Certificate/Diploma Students
The page displays contact information as currently recorded and a comprehensive  Programme Summary, listing all Programmes, Majors and Stages by Term.

Finally all current and past modules are listed, including information on stages, levels, grades (where available) and semesters attempted.
  • Graduate Taught and Research Students
In addition to the information listed above, the page also displays information specific to Graduate students where available.

This includes information on Major theses, Supervisors, Doctoral Study Panel Members, as well as key dates such as Viva, approval date etc.
