Welcome to UCD's new Online Official Document Publication service
Accessing your Academic Transcript or Certificate of Attendance? - see "Students - How to access your documents" below
This webpage is aimed at students, graduates, UCD staff and recipients of online documents.
Students are now able to publish their own UCD official documents in PDF format. Documents are available to students whenever they need them; there is no need to go to the Student Desk. They can be printed in hardcopy or sent as an e-mail attachment, and made available to third parties (such as Grant Authorities, banks, Prospective Employers, other Universities etc) for online verification. Verification is enabled through the creation of a unique, secure, 16-digit alphanumeric PIN which will appear on each document. Using this PIN and the Student's UCD Student Number, recipients of the documents will be able to, if they so wish, securely log on to the UCD website and verify that the document they have received is accurate.
Documents will be added to this service on a phased basis. The UCD Certificate of Attendance has been available for some time. From 10th February 2012 the Academic Transcript has been available to graduates who began & completed a modularised course of study in UCD from 2006 onwards. The Statement of Results and Academic Statement will be available from 21st June 2012. Further details on each of these documents are available from the Official Documents menu on the Student Desk homepage.
This service enables UCD students/graduates to produce many of their key UCD documents from their SIS Web account (from the Student Services tab). These documents can now be published in PDF format. The Certificate of Attendance (which confirms that you are or have been a student of UCD) and the Academic Transcript can be printed or saved in PDF format. They can then be distributed either in hardcopy (paper) or as an e-mail attachment to recipients who require them (such as Local Grant Authorities, Social Welfare offices, prospective employers, other Universities, banks etc).
Students can enable/disable verification of their documents through their SIS Web account. If the student has enabled verification, the recipient will be able to authenticate the content of the document at www.ucd.ie/verify using the Student's ID Number and the document-specific, 16-digit alphanumeric PIN listed on the Certificate. If the student has not enabled verification, the recipient will receive a message denying them access to the document.
Certificate of Attendance For information on Certs. of Attendance & what they can be used for, click here , or expand the prompts below for details on how to access it online.
Academic Transcript Further details on the Transcript are available here
.
More Official Documents will be added to this service on a phased basis.
To view, produce and enable/disable your documents simply log in to your UCD SIS Web account through www.ucd.ie or through UCD Connect. Select the Student Services tab and press My Electronic Documents option.
To view your document, press the document title you require (see below). This will generate a PDF which you can save or print.
To enable/disable online verification of your document press the appropriate action (see below). When you first view your documents, they will be disabled.
Please note that you are responsible for publishing these documents so ensure that they are securely submitted to the recipient and that you have not enabled verification if you do not want the recipient to be able to view the document online.
Enabling verification means that anyone who has your student number and the document-specific PIN (which is only available on the document itself) will be able to verify its content online. Each document has one PIN, so enabling access means any holder of the document will be able to view it online.
Also, please note that when the recipient views the document online, they will see the latest information available on that document pulling from the UCD student system. If, for example, you send out the document and then subsequently change your address in SIS, your new address will appear on the verification copy viewed by the recipient and may not match the old address on the original document you sent them. Consequently please ensure that you provide the recipient with the latest version of your document. You can update it at any time (with the same Document PIN) by re-producing it through SIS Web.
UCD provides this online verification mechanism to enable third parties to authenticate UCD documents which students have chosen to publish. Please note that the student member retains the right to disable verification of their documents at any time.
Please note that you are obliged, under the Data Protection Act 1988 and the Data Protection Amendment Act 2003, to keep these documents and their contents secure from unauthorised access, disclosure, destruction or accidental loss. Access to this data is intended for verification purposes only and should not be used for any other function.
In order to verify the information on the document, please go to www.ucd.ie/verify and enter the student ID and Document ID into the required fields. These codes can be found at the bottom of the student's document:
Please enter the codes (and your name for audit purposes) into the required fields on www.ucd.ie/verify:
You will then be prompted to complete a CAPTCHA to prevent illicit phishing of confidential information:
The Certificate of Attendance is available to most students and former students of UCD who hold a SIS Web account.
Occasional/Erasmus/Study Abroad/International students can publish their Certificate of Attendance online. Please note, however, that the online version is not currently accepted by the Garda National Immigration Bureau (GNIB). Should you require a Certificate of Attendance for the GNIB, please come to the Student Desk in the Tierney Building.
The following student types cannot presently avail of the service:
Students who have a hold (eg a Fees Hold, Disciplinary Hold etc) on their record. If you are prevented from using this service because you have a hold, your document will display a message to that effect. Further information on your holds can be found on your SIS Web account by selecting the Information for Students tab, pressing Student Records and selecting the View Holds option. Please note that Stage 1 Undergraduate students can produce their documents online if they have a Fee Hold.
Adult Education Students. Should you require a Certificate of Attendance please come to the Student Desk in the Tierney Building.
Acacdemic Transcripts
The Academic Transcript is available to most students and former students of UCD who began a modular course of study in or after 2006.
The following student types cannot presently avail of the service:
Students who began their Programme of study prior to 2006, or who did not undertake a fully modularised Programme cannot currently generate their transcripts online. This is due to the University’s transition to a modularised curriculum in 2005. Going forward it is planned to extend the transcript service to pre-modularised students.
Students who have not yet completed their degree, will not be able to access their online transcript. Students who are not complete should request a Statement of Results if needed
Should you require an Academic Transcript, please contact the Adult Education Centre at:

Fax : (01) 716-7500

Opening Hours: Monday to Friday: 9.30am - 1.00pm and 2.00pm - 5.00pm
Any person who has received a copy of the document will be able to use the Student ID Number and Document PIN listed on it to verify the document online, if the student has enabled verification.
The copy of the document they will be able to view will be identical in layout to the original produced by the student. As detailed in the Important information for students section above, the recipient will see the latest data available so students should ensure that they provide recipients with up-to-date documents.
Documents cannot be viewed online unless the student/graduate has enabled verification
No-one will be able to access online records without the correct combination of Student ID and Document-specific PIN. This PIN is a randomly-generated, 16-digit, alphanumeric code which is only available on the document distributed by the student. The chances of someone correctly guessing this combination is considerably greater than one in 1,000 trillion!
Having entered the correct combination of codes, the recipient must complete a CAPTCHA test (http://en.wikipedia.org/wiki/CAPTCHA) to prevent illegal phishing of student data.
