Welcome to the second bulletin from UCD Academic Affairs for the 2008-09 academic year. Before we close for Christmas and a well-earned break, I would like to highlight a number of developments that have taken place over the past few months and items that you should be aware of as we move into Semester 2 of the 2008-09 session.

As our students complete their Semester 1 exams, I'm delighted to note that the system and supports around the assessment process are becoming progressively smoother. As previously indicated in my Bulletins, modular and programme assessment strategies are critical to the educational quality of our provision. Vice-Principals for Teaching & Learning, and our SIF-funded Fellows in Teaching & Academic Development are, I know, working with colleagues to link assessment strategy to learning outcomes. I look forward to engaging in this work. 

Spring 2009 will see the finalisation and approval of the University's strategic plan for the 2009-13 period. Central to this plan is our Education Strategy, already agreed with significant input from colleagues across Colleges and Schools. I will be prioritising discussions with colleagues on the implementation actions that will give life to the strategic objectives and, importantly, will link education and research for the benefit of students.

Critically, I recognise that continued improvement to service provision and delivery across my own area of responsibility is an essential underpinning to strategy and academic plans. While there are many individuals who should be thanked for their contribution to the successes of the past year, I would like to extend special and personal thanks to all those who contributed to the recent Open Days.

I look forward to working with you in the New Year on the initiatives and improvements that we will undertake during the 2009 year, supported by the Deputy Registrars-Professors Bairbre Redmond and Julie Berndsen, and the Directors within my team.

For now, all best wishes for a happy and peaceful Christmas 2008.

Education Strategy and Implementation Plan

Work will start in 2009 on developing an implementation plan to deliver the Education Strategy, which has been approved by Academic Council and the Governing Authority. I will lead the implementation planning over the coming months, working closely with the Deputy Registrars for Teaching & Learning and Graduate Studies, College Principals, College Vice-Principals, Graduate School Directors, Programme Deans and Heads of School. I also intend to meet with academic and administrative colleagues at College and Programme fora to discuss local and university actions.

The implementation plan will have an impact on staff across the University, in particular at College, Programme and School level, and will require careful consideration in terms of critical resources: time and money. Colleges have already submitted the necessary actions they believe will be required to achieve their strategic objectives and I will be discussing these with colleagues in January and February 2009.

Academic Governance and Management Implementation

Led by Professor Gerry Doyle, Dean of Academic Affairs, a number of Academic Council-endorsed recommendations have been implemented. These include:

  • Approval of a register of Subjects at UCD and a policy and procedure for the emergence and review of Subjects;
  • Approval of nominees to the position of Head of Subject and accompanying policy, procedures and role description;
  • Approval of nominees to the position of Head of Section and accompanying policy, procedures and role description;
  • An approved policy on Academic Centres at UCD and a list of centres (full details on Academic Centres at UCD will be available in early January).

In addition, work is underway to recommend revisions to Academic Council's sub-committees in February 2009. Details of the list of Subjects, Heads of Subject and Section and all accompanying policy/procedural documentation can be found at www.ucd.ie/registry/academicsecretariat/pol.htm

Strategic Innovation Fund at UCD

You will be aware that UCD received an award of funding from the HEA's Strategic Innovation Fund (cycle II) early in 2008. We have now been notified of the actual income amounts-reduced considerably due to the deteriorating public finances. I am working with colleagues internally, and with our partner award recipients in the Dublin Region Higher Education Alliance, to agree on how to maximise our outputs in this new scenario. I hope to be in a position to confirm to colleagues what activities UCD will engage in for the SIF II cycle (2008-2012) by the end of January 2009.

6th Annual IUQB Conference

The 6th Annual IUQB Conference, organised by the UCD Quality Office in conjunction with the IUQB and the IUA 4th Level Network, took place in UCD on 14 and 15 October 2008. The IUQB Annual Conference aims to bring together key practitioners and policy makers concerned with the quality of Irish higher education. UCD Registry news

Grade Approvals Process
The revised Grade Approvals Process was formally approved at Academic Council last Friday, 12 December. Further communication and consultation with key stakeholders will take place after the Semester 1 grading session closes as to how and when this new process will be implemented. A key benefit of the revised process will be the ability to release exam results to students much earlier than at present. For further information, please contact assessment@ucd.ie

Semester 1 examinations
The Semester 1 examinations are well underway in the main centre in the RDS, as well as Belfield and Blackrock. The final sitting will take place on Friday, 19 December at 6.00pm. Results will be released to students no later than 5.00pm on Monday, 2 February 2009.

The exams in figures

Between Monday, 8 and Friday, 19 December 17,184 students will sit 1,209 examinations
totalling 70,958 sittings!

The biggest turnout for a single examination session was 2,244 students on Wednesday, 10 December at 6.00pm.

Review of Registration
A review of Registration 2008 is coming to a close. The review focuses on identifying the high-level lessons learned from this year's registration season in order to inform the preparatory activities for next year. The review is due to be published in January 2009 and will be available on the Registry website at www.ucd.ie/registry

Start of term survey results
This year's survey results show the enormous progress UCD has made in student satisfaction ratings since 2006, with 87% rating the process Satisfactory or Better and 51% rating it Good or Excellent-an improvement on last year and a very significant increase on satisfaction levels from 2006. A high priority this year was improving access to elective modules and increasing the number of places offered in subjects where the greatest interest lay so it is good to note that 77% of respondents reported that they got some or all of their preferred choices, up from 69% in 2006. Information Capture and Curriculum Management 2009
The timelines for Information Capture and Curriculum Management (ICCM) 2009 are now available. A key development this year is the new online Curriculum Builder which replaces the old Module Descriptor form. The new tool, which will be available on 2 February 2009, has a much easier user interface and includes significant enhancements for staff who manage majors/minors and programmes. Training on how to use the new Curriculum Builder will be provided by Administrative Services in the New Year. Graduate Election 2008
Counting of votes in the Graduate Election 2008 took place on Saturday, 29 November. The following candidates were elected to the fourth Governing Authority:
- Cliona de Bhaldraithe-Marsh
- Mary Theresa O'Keeffe
- Seamus Mac Suibhne
The fourth Governing Authority will hold office for the period 1 February 2009 to 31 January 2014. Thanks to all the staff who volunteered at the election count, and congratulations to those elected.

Online Applications
Staff and applicant surveys on the Online Application System took place between September and November. On balance, respondents rated the system favourably, although a number of usability issues have been identified by staff respondents. Further developments to enhance the system will take place over the next few months.

IGC/HEI conferences 2008
The 2008 Institute of Guidance Counsellors/Higher Education Institution conferences took place between 3 and 13 November. The conferences are open to representatives of the CAO and HEIs in the CAO system and provide an opportunity for Guidance Counsellors, CAO and HEI staff to exchange of views and best practice.

UCD Open Days
Secondary school students, mature students and their families got a taste of life at UCD at the Open Days on Friday, 5 and Saturday, 6 December. Huge numbers of visitors visited the main Exhibition Hall and attended the exciting range of talks which were held around the campus. The Open Days are held at a vital point during prospective students' journey of discovery, just prior to completing their CAO forms in January. For more information visit www.ucd.ie/opendays.
