What is UniShare?

UniShare is UCD's online tool for managing interactions with current and prospective students, alumni and staff.

How does UniShare work?

Every student has their own UniShare profile. Each time we speak with you we log the interaction on your UniShare profile and record any additional relevant information. We can then use this information to better assist you with any future queries that you might have.

UniShare also works as a communications tool between the Student Desk and other areas of UCD (Who else in UCD uses UniShare?). This means that if we refer you to another department who will be better able to assist you, we can notify them of your case before you speak with them to help keep you from having to explain your situation multiple times.

What kind of information do we collect and store?

Why do we use UniShare?

We use UniShare for a number of reasons, primarily to help provide the best service possible and to help make your experience with the Student Desk an enjoyable one.

While we aim to answer all of your questions at the time that you contact us, some queries, depending on the situation, require follow up contact before they can be solved. We know it would be frustrating to have to explain the same question or situation every time that you contact us, so UniShare helps prevent this from happening. In the case of more complicated queries which require follow up contact, we record comments explaining your initial query and the steps that are being taken to resolve it. This way every staff member that you speak with at the Student Desk can reference these comments, allowing us to help you more efficiently.

Additionally, using the information gathered, we can run reports to determine trends in the types of questions that are asked during different times of the year and determine when we're busiest. This helps us accurately staff the Student Desk at peak times to help reduce your wait time.

Finally, once we have finished helping you and have logged our interaction on UniShare, we'll email you a feedback form so you can tell us about your experience with the Student Desk. Who can access the information stored on UniShare?

UCD Staff: Your information on UniShare can only be accessed by members of staff working in the Student Desk area or other UCD staff who may need to access the data in order to help resolve your query.

For how long is the Information on UniShare stored?

Information is stored in UniShare in line with UCD’s data storage policy and will be reviewed with any upcoming changes to data protection legislation.

What are my rights to information?

You have the right to request to see or edit the information about you on UniShare at any time. If you have any questions about your stored information, please contact the Student Desk and we will be happy to discuss it with you.

If after contacting the Student Desk you are unhappy about the information that we are storing, you have the right to contact the DPCO (Data Protection Commissioner Office).
