All New Staff will be requested to upload a passport sized photograph as part of the process to get a new Staff UCARD. This photo will be used as photographic identification of you on your card and on our Staff Database. The card will be posted to you so you will also need to email email@example.com requesting the card and detailing your official UCD address. You can upload your photo in sisweb by opening the “infohub” tab and then clicking “My Profile”
Before getting your staff card you must ensure you have returned all of your relevant documents to Human Resources and that you have been added to / updated on the staff system as it is not possible to print a card until this has been done.
DO NOT top-up your UCARD account before getting your first physical card!
Existing Staff have a photo on the system and are not required to upload a new photo. If a member of staff requires a replacement card because it is lost or broken simply email firstname.lastname@example.org requesting the replacement and detailing your official UCD address and Staff Number
Preparing your photo
When prompted, you will be able to browse your computer to find a suitable image file. This should be a .jpg file with a size of no more than 50Kb.

- To Resize your photo and reduce the file size you can use an online cropping tool such as Photo Resizer (http://www.webresizer.com/resizer/)
The image should be taken in colour and show your full head with your eyes open and clearly visible (with no sunglasses, tinted glasses or hair across your face). You should be face fronting and looking directly into the camera. Your head and/or face should not be covered unless this is for religious or medical reasons. There should be no other person in the photograph. You will have the opportunity to confirm that the image is correct before sending this to the University. If you wear glasses please ensure the photo is free from reflection or glare on your glasses and the frames should not cover your eyes. See below for sample do's and don'ts for your photos.
What can I use it for?
As UCARD is rolled out across the University it will become an everyday part of your life in UCD. You can use it anywhere you see the UCARD symbol next to a pay or service point which currently includes
- CopiPrint (Print, Copy & Scanning)
- Used as an Electronic Purse
- Access to UCD Staff Residences, UCD Sports & Fitness and the Library
- Time and Attendance
