The health and safety of our guests are at the forefront of delivering successful events by means of enhanced safety procedures. UCD Conference and Events and the UCD University Club adhere to the Government's current guidelines. We are accredited at Failte Ireland for the COVID-19 Safety Charter.

Please follow the steps below to help us keep you safe while visiting:

  • Sign in at the reception desk for contact tracing
  • Wear a face-covering in all areas
  • Wash and sanitise your hands regularly
  • Observe social distancing of 2 metres
  • Use contactless payments
  • One way flow management system
  • Digital COVID-19 Certificates validated at the reception for indoor dining

The UCD Conference and Events team works closely with UCD Estate Services and SIRC during the pandemic to ensure the campus is a safe environment for all staff and guests to enjoy. With you and your guests as our main priority, our onsite team are fully trained to ensure the health and wellbeing of the attendees.

We have devised the following procedures to ensure the successful and safe delivery of your event.

HYGIENE PROCEDURES

Both O’Reilly Hall and the UCD University Club have an integrated air handling system to allow for additional ventilation and circulation of air. O’Reilly Hall and the Conservatory have doors opening for increased ventilation. The UCD University Club rooms are bright and airy with access to a balcony and windows.

Hand sanitizers are placed in key positions and a one-way traffic flow system throughout the building. Plexiglass screens have been installed at all reception and the Café area for the safety of everyone. Contact tracing details are required for entering the facilities. We encourage paperless events and have removed all notepads and pens in the meeting rooms, attendees are more than welcome to provide their own.

Additional cleaning staff onsite both pre- and post events to ensure the highest standard of hygiene. Enhanced cleaning program in place for each event. 

REDUCED CAPACITY

The event space capacities have been reduced and are in line with Government guidelines for social distancing. Please adhere to social distancing guidelines at all times and our team are on hand to assist with any issues or concerns.

PRE-ARRIVAL PROCEDURE

At the pre-planning stage of every event, a risk assessment will be compiled to ensure protocol is followed for the safety of all delegates and organisers. We work directly with subcontractors and onsite crew to complete a third party contact tracing form and to ensure relevant COVID-19 documentation is in place. At the site visit, the onsite logistics and flow management will be confirmed.

ARRIVAL ONSITE

The reception desk is located at the UCD University Club Lobby for contact tracing and additional enquiries. COVID-19 signage is placed throughout the facilities as per current Government guidelines, guests will be asked to adhere to the guidelines to ensure the health and safety of the delegates.

Guests are advised to wear a face-covering when moving around the venue. A one way flow management system is in place with reduced capacities in all the areas with 2 meter social distancing as well as the elevator has one person use restriction. For inside dining, Digital COVID-19 Certificates will be validated at the Reception.
