Purpose

An email account, dignityandrespect@ucd.ie, (the “D&R Mailbox”) was created in September 2020 to provide an additional channel for employees and students to come forward informally and in a confidential way to seek support, information and advice in relation to issues of bullying, harassment, sexual harassment and/or sexual misconduct.

Reports made to the D&R Mailbox will be followed up by members of the University who are experienced at dealing with such matters and who will provide targeted information regarding the steps available to seeking a resolution under the University’s policies and procedures and also information about the supports available within the University.  

The D&R Mailbox will also be used to enable the University to understand the nature of incidents of bullying, harassment, sexual harassment and sexual misconduct and to identify barriers which employees and students have experienced in coming forward to report such incidents. The University will evaluate this information on an anonymous basis for statistical purposes and to inform the review of the Dignity and Respect policies.

D&R Mailbox Team

The D&R Mailbox is managed by a core team of individuals from Human Resources, the Equality, Diversity and Inclusion Unit and Student Support Services (the “D&R Mailbox Team”). The D&R Mailbox is monitored by one member of the core team who notifies the team as appropriate. The role of the D&R Mailbox Team is to support individuals that disclose an incident of bullying, harassment, sexual harassment or sexual misconduct through the D&R Mailbox. The D&R Mailbox Team will keep a record of the actions arising from any discussions, meetings or communications with the person disclosing an incident.

D&R Mailbox Terms of Reference

Purpose

The Dignity and Respect Mailbox was established in September 2020. The purpose of this mailbox is to provide an additional channel for individuals to come forward informally to seek support, information and advice regarding steps to seeking a resolution in relation to issues of bullying, harassment, sexual harassment and/or sexual misconduct.

Timeframe

The Dignity and Respect mailbox channel will remain in existence until the review of the Dignity and Respect policies are complete. This review will include recommendations in relation to the support framework for individuals who come forward with an issue and the future of the Dignity and Respect mailbox will be considered as part of this.

Role of Dignity and Respect Team

The primary role of the team managing the mailbox is to support individuals who make contact as follows:

  • To follow up with any individual who sends an e-mail to the mailbox to arrange a meeting if possible
  • To listen to the issue that the individual raises
  • To provide information in relation to options (informal and formal for Bullying and Harassment and formal for Sexual Harassment and Sexual Misconduct)
  • To explain to the individual what occurs in the case of a formal complaints process (i.e. the formal complaint form, the Screening Panel and what happens during an investigation process including potential outcomes)
  • To advise of further supports that individuals may wish to avail of e.g. Employee Support Service and Student Counselling
  • To offer to follow up in 1-2 weeks once individuals have had a chance to consider options in order to provide support in cases where individuals are reluctant to make a formal complaint and to support them to a point where they feel in a position to make the formal complaint
  • Keep a record of dates of meetings and written correspondence and the outcome of each meeting.

The team do not:

  • Advocate on behalf of individuals
  • Facilitate discussions between individuals
  • Complete the complaint form on the behalf of individuals
