Erasmus - Opportunities for Teaching Staff within Europe

Teaching staff may avail of Erasmus funding for exchanges with partner institutions.  The following are the basic criteria for these exchanges:

  • minimum of 8 hours’ teaching contact
  • minimum of 5 days’ stay is recommended
  • maximum stay of 6 weeks
  • visit must be agreed by host at partner institution
  • teaching must be an integral part of the host university’s courses
  • host institution must have an Erasmus Charter for Higher Education(ECHE)

Why go?

  • To broaden the range and content of courses you offer
  • To allow non-mobile students to benefit from the knowledge and expertise of visiting staff
  • To promote exchange of expertise and experience
  • To motivate students and staff to become mobile and to assist them in preparing a mobility period.

There is an annual allocation of funding from the HEA for Erasmus teaching staff exchanges.  As there is not always a possibility to get additional funding, it is important to notify UCD International as early as possible if you wish to go on such an exchange. 

Required Documents

The following five documents must be completed for Teaching Staff exchanges:

  • ‌Completed and endorsed work programme for the exchange
  • Completed financial agreement as required by the HEA (Provided by Catherine Convery once exchange has been finalised)
  • ‌ Certificate of participation signed by the host institution
  • ‌ Receipt for mobility grant
  • ‌ Teaching exchange report (online)

The first two documents should be completed before travelling.

Note 1: Please note that the UCD subsistence rates do not apply; there are specific EC rates for these exchanges.  Please contact UCD International for an estimate of the funding available. 

Note 2: At present, the HEA will fund only one week of a Teaching Staff exchange. While further funds may be forthcoming during the year, staff should not depend on receiving more than one week’s grant. 

Erasmus - Opportunities for Administrative Staff within Europe

The Erasmus exchange programme also provides funding for administrative staff to spend 1-6 weeks (in certain cases, a shorter period may be permitted provided a justification can be made) on exchange in another university. Travel must take place by 30 September.

  • To acquire practical skills relevant for your current job and professional development
  • To build cooperation between higher education institutions

What kind of training is offered? 

The stay in the partner enterprise can consist of:

  • short secondment period
  • job-shadowing scheme
  • study visit
  • workshop
  • conference

Where Can I Go?

There is no list of approved partners, so staff are free to attend an institution of their own choosing.  However, partner institutions must hold an ECHE (Erasmus Charter for Higher Education).  If in doubt, please contact UCD International for clarification.  They must also be in the EU, EEA or Iceland, Liechtenstein, Norway, Turkey, Serbia or FYR Macedonia.

How to Apply?

Partner institutions must agree and endorse a  in advance of travel. Staff must obtain the agreement of their Head of Unit for the training. Heads of Unit must agree to host a training visit, if requested, during the 18 months following their staff going abroad. 

Funding

Subsistence costs are calculated on the basis of daily or weekly rates as allowed by the European Commission (UCD subsistence rates do not apply). A week equals 5 working days, but up to two travel days may also be covered.  Travel and subsistence allowances vary depending on the destination country. Once  travel is confirmed, the full grant can be calculated. 

All staff must complete the following documents:

  • Erasmus Grant Agreement
  • Confirmation Certificate
  • Staff Mobility for Training report form(online via EU database)
