Update - 30 April Checkpoint in Planning 2020

This page provides some updated information for Finance Managers & Accountants regarding the timescales and reports.

Timescales

Because of the 3 levels of approval required for the Budget, we need to treat Fri 29 May as a hard deadline for completion of financial plans. It is a Bank Holiday weekend and that weekend will be used for the collation of plans & preparation of information for review by the Bursar & President. Papers need to then be submitted to UMT by Fri 5th June. Therefore the June long weekend won't be available as a 'grace period' to finalise plans.

The 30 April checkpoint is for draft plans which are not expected to be final or completed at a detail level, but we will take the information at that point as being the plan at that point. The Bursar, Director of Financial Planning and each Finance Manager/Director will have meetings in the week starting Tues 5th May. The meetings will discuss the draft plan & our assessment of it. This would include where the FM thinks the plan is likely to end up, what actions have been taken so far, potential actions and prioritisation of areas for discussion between the Bursar or Director of Financial Planning and the Principal or Heads during May.

Reports

Reports of the draft plans will be automatically run and uploaded to InfoHub Planning 2020 site under a new category 'Budget Pack - Checkpoint' [or similar title] and therefore will be available to Heads as well as to Principals & Finance Office.

College Packs will also be automatically run and uploaded, to the Admin Office unit. These will be the documents discussed at the checkpoint meetings.
The Budget Packs will be tweaked a little to separate out summary information from detailed information, being split into a Summary Pack and Appendices pack.
The system currently allows production of the individual reports that are collated together in the Budget Pack but the reports can be difficult to find. We will add a new cluster so that these reports may be more easily found and run as individual reports. Nothing will be removed.
For the splitting of the budget packs and the new cluster for the individual reports, the options will be added ahead of the 30 April. While they are being worked on, titles will start with 'Do Not Use'. You will be notified when they are ready, and supporting information to specify exactly what changes have been made will also be published.
To enable production of the reports for InfoHub, the system will be unavailable from 16:00 to 23:00 on Fri 1 May.
