When will I hear back about my application to be an invigilator?
Once you submit your application, you will receive a follow-up form asking you to indicate the exact dates and times you are available to work.
If your application is successful, you will receive a personalised roster approximately four weeks before the exam session begins. You will be asked to confirm your assigned hours.
Will I be contacted if my application is unsuccessful?
Yes. All applicants will be notified of the outcome of their application. However, please note that due to the high number of applications, we are not able to offer a position to everyone.
Who will contact me about my application to be an invigilator?
All communication about your application will come from the UCD Assessment Exams Office or Unijobs, depending on the stage of the process.
Please check your email regularly, including your spam or junk folders, as messages can sometimes be filtered there.
Is training required?
Yes. All successful applicants must complete a compulsory training session. You will receive details of this training once your application has been accepted.
Even if you have worked as an invigilator at UCD before, you are required to complete training before each exam period. This ensures that you have the most up-to-date information and guidance.
What should I expect on the day as an invigilator?
On the day of your scheduled invigilation, you will be part of a team working to create a calm, fair and accessible exam environment for all students.
Here’s what you can expect:

Arrival: You will be asked to arrive at the exam venue before the exam begins. This allows time for a short briefing and for exam hall setup to be completed.

Briefing: Your team lead will lead a pre-exam briefing, where you will receive any updates, instructions, or special arrangements for the session.

Distribute and collect exam papers and materials

Monitor the exam room to ensure academic integrity

Respond to student queries in line with exam procedures

Record any incidents or issues that arise

End of exam: You will help to collect scripts, tidy the exam hall, and complete any required paperwork or reports.
What should I bring with me on the day?
A form of photo ID is required for security checks and must be presented on arrival. Bring a reusable water bottle for refilling and, if you want tea or coffee, a reusable cup.
What should I wear?
Wear comfortable shoes as the role involves extensive walking. Dress in layers so that you can adjust to varying temperatures in the exam venues. Invigilators should dress in a way that supports a professional and respectful atmosphere.
Where will I take my break?
Each exam centre has a break room assigned with access to tea/coffee making facilities. You are welcome to bring your own lunch, as a fridge and microwave are available at the venues.
What if I am unwell on the day I am rostered?
If you are unwell and cannot attend your rostered shift, you must notify the Exams Office immediately. For shifts at the RDS and Blackrock Exam Centres, email (opens in a new window)invigilation@ucd.ie. For shifts at the Newman Exam Centre, email (opens in a new window)aeads@ucd.ie. Do not attend if you are unwell, for your own safety and the safety of others. Alternative cover may be arranged, but prompt notification is essential. If you repeatedly cancel hours assigned to you at the last minute, all of your hours may be revoked and reallocated to another invigilator.
What do I do if I have an issue on the day of the exam?
If you encounter any problems during the exam, inform your team lead immediately. They are there to support you and will take the necessary steps to resolve the issue.
If your team lead is unavailable, contact the Deputy or Invigilator-in-Charge at your venue.
