Continuation Rapid Improvement Event

Continuation Rapid Improvement Event

On 22nd October we ran UCD's first Rapid Improvement Event to agree the Common Process for local operation of the Continuation Policy. The purpose of standardising Common Processes for Common Services will ensure a consistent experience for all students and staff. This project and the Event was sponsored by the Registrar, Professor Mark Rogers, and supported by UCD Agile.

The format of a Rapid Improvement Event focuses on bringing the subject matter experts together to propose solutions and implement decisions efficiently and effectively.

Our objectives for the Event were to agree & implement a common interim process for local operation of the Continuation Policy, and to identify an ideal process for future implementation.

The Event was lead by an external facilitator from SQT Training and attended by the Subject Matter Experts, all of whom brought their experience, expertise and enthusiasm. These experts were:

  • Representatives from 12 College/School offices; the staff most familiar with the current process
  • A representative from Student Engagement, Conduct, Complaints & Appeals (SECCA) and the Academic Council Committee on Student Conduct & Capacity (ACCSCC)
  • A representative from Registry

It was a long and productive day, and a lot was achieved. By the end of the Rapid Improvement Event an action plan for the interim and ideal Common Processes for Continuation had been agreed. We reached agreement on the following key items:

  • Ensuring student-facing information relating to Continuation is available, accessible & transparent to all students
  • Standardising the format of meeting invitations and outputs
  • Designing the ideal report that matches the criteria & holds the content required to identify and track students whose performance triggers the Continuation Policy

Over the next few weeks we will be working with the Subject Matter Experts with a view to implementing the interim process by January 2020.
