Information for Staff

Who is the Transfer Policy relevant for?

Undergraduate applicants who have previously attended (but not completed) third level qualifications are covered by the Transfer Policy.

If they wish to apply for admission to first year of a new course, they apply via CAO (with the exception of start of stage 1 transfers). They must declare their previous third level attendance. Certain restrictions may apply.

If they are seeking advanced standing, they apply direct to UCD. Closing dates and procedures are available on the main transfer page www.ucd.ie/transfer.

Non-EU entrants apply via UCD Global, regardless of which year they are seeking to enter. If admitted, they may apply for Recognition of Prior Learning. Current UCD non-EU students may apply to transfer between undergraduate programmes under the Transfer Policy, for entry mid-year in stage 1 and for entry to stage 2 (or later).

What are the roles and responsibilities for the transfers?

For transfers via CAO, programme areas are only involved if the restrictions are appealed.

For direct mid-year stage 1 and stage 2 transfers the roles and responsibilities are as follows:

Applicant Governing Board/Office Admissions
1 Initiate the transfer and complete the application accurately and completely 1 Advise Admissions if there are places available for transfer applicants and how many, 1 Prepares application forms
2 Updates websites with places available (if any)
2 Pay application fee 2 Following closing date, review applications in line with the criteria in the Transfer Policy. 3 Screens applicants for basic eligibility
3 Upload supporting documents 4 Assigns eligible applicants to appropriate programme area
  Enters "Programme Decision" against all applicants which may be
  • Offer
  • No Offer (with reasons)
  • Conditional Offer (with conditions)
5 On receipt of decisions, issues offers and communicates with applicants
If offered a place
1 Accept and pay fees 6 Liaises with the Student Records team to ensure applicants records are correctly set-up and requests that general credit is applied to the records of external transfer or progression transfer students.
Present originals of relevant documents for verification 4 Assist with appeals if required 7 Sends welcome pack to new students in September
    Submit request for module mapping to Assessment via online Delegated Authority tool in Infohub (specific credit request) for any internal transfer or re-admission students who change programme code  8 Manages appeals process
