Filming and Photography on Campus

Formal approval from UCD University Relations must be received before any filming or photography can take place on campus.  See further details and contact information on the UCD University Relations Website

Any persons arranging or proposing these activities on campus, including the use of drones, must contact UCD University Relations in the first instance.  As part of the approvals process, the UCD point of contact for the activity must confirm the insurance details of the third party engaged, and in the case of drone operation, their compliance with the Irish Aviation Authority (IAA) requirements. These requirements are set out below.

Insurance Requirements for Filming and Photography

The UCD point of contact for Filming and Photography on campus must confirm the
following insurance details of the third-party operator:

  • Insurance details for the operator stating photography / videography within the business description
  • A valid insurance certificate i.e. that the cover is in date for the date of the event
  • The insurance certificate should state Public Liability with a limit of indemnity of
    €6.5M
  • If the insurance policy is from outside the Republic of Ireland, seek confirmation
    unless specified in the certificate that cover extends to the ROI.

Filming that involves large crews, the use of props, or that may have an impact on the operations of the university, requires more details to be provided and will need the input of Estate Services.

The UCD point of contact engaging a third party to take drone footage on campus must confirm the following details of the third-party operator:

  • Insurance details for the drone operator specifically stating the operation of drones within the business description.
  • A valid insurance certificate i.e. that the cover is in date for the date of the operation.  The insurance certificate should state Public Liability with a limit of indemnity of €6.5M
  • A specific indemnity to UCD
  • Confirmation of IAA registration and approval / licence for the flight / use
  • Risk assessments / flight plan for the drone operation.
