Process and Role Definitions

1) Why are we introducing this process change for our Student Based  Roles and Invigilators?

The objective of UCD’s hourly paid project is to ensure that casual employment is efficiently managed with appropriate flexibility in place to serve University operational needs whilst ensuring that statutory protections for employees are in place.

2 ) Can you outline what defines a Student Based Role?

These roles are described as roles that require registered students to support an event or provide a peer support service to current or prospective students. Student based roles are a critical enabler for events across the university, acting as key influencers when representing various programme areas and enable a direct influence and communication channel.  These roles can be characterised as short-term or intermittent with fluctuating or ad-hoc hours where engagements may last for the duration of their studies

3) Can you outline what defines an Invigilator?

Examination invigilators (supervisors) are responsible for ensuring that the examinations are conducted in accordance with UCD procedures by making sure that students comply with the Examination Regulations and supporting students during examinations.

Contracts & Role Management

1 ) What type of contract is issued  by Unijobs?

2) Who pays the Unijobs agency service fee?

UMT Finance, Staff, and Operations Group approved the central funding of the Unijobs 14% agency fee.  All  invoices issued to Schools/Units engaging with UniJobs will exclude this fee.

3) How do I calculate the cost of service for Unijobs hires?

The cost of service is based on the hourly rate of pay, employers PRSI and holiday pay. You calculate this by multiplying the hourly rate by the required hours, then adding a 23% uplift (covering holiday pay and ER PRSI). The service charge of 14% is invoiced separately to UCD Finance. VAT is not applicable. 

4) As an Agency worker assigned to UCD, can I get paid for one assignment on weekly payroll and a second assignment on the monthly payroll with Unijobs? 

The employment with Unijobs is considered as one employment rather than based on individual assignments. Therefore, an agency worker can only be assigned to one pay frequency. This regulation is mandated by revenue, as they allocate tax credits to a single payment frequency per employment. UCD has agreed with Unijobs that all agency workers assigned to UCD will be paid on a weekly basis.

5 ) For agency workers that hold a Stamp 2 Visa, as a hiring manager within UCD what is our obligation in terms of monitoring the limits on their hours during academic term and outside of those periods.  

Unijobs restricts students to entering a maximum of 20 hours per week on the timesheet system. This limit can only be increased to 40 hours if UCD notifies Unijobs that the trimester has ended. While Unijobs can monitor the hours worked for Unijobs, it is ultimately the student's responsibility to ensure that their total working hours across all their employments do not exceed the 20-hour limit specified by their visa. UCD Hiring managers should provide Unijobs with details of UCD Academic Year Term Dates which will illustrate periods outside of academic trimesters where hours can be worked in excess of 20. Hiring managers should be aware that workers who hold a Stamp 2 visa will only be able to commence an assignment once they have received their IRP card. 

6 ) One of the students hired has not worked in Ireland before - what steps need to be taken to ensure they are registered correctly with Revenue?

Students who have not worked in Ireland before should contact Revenue directly by (opens in a new window)www.revenue.ie, they will also need to contact the Department of Social Protection to make an application for a PPS number.

7) I have a student registered with Unijobs who needs assistance with a payroll query, who can I refer them to?

8) Can Unijobs provide reports to hiring managers based on assignment and timesheet details?

Unijobs can create bespoke reports tailored to UCD needs. Reports can be based on duration of service, working hours, number of assignments etc. Within their timesheet system there are multiple reporting functions allowing approvers/ managers to extract reports on their staff.  

9) Can Unijobs attend induction or training sessions related to new assignments in UCD ?

Unijobs is available to attend in person or online at induction or training sessions provided by Schools/Units where they will provide an overview of the registration and timesheets submittal process and provide guidance on Revenue issues.  

Renewals & Extensions

1) Is there a limit on the number of assignment extensions offered to an hourly paid employee engaged by Unijobs?

No, UCD will not specify a limit on the number of extensions offered to Invigilators or those engaged in Student Based Roles. 

2 ) Is there a gap in employment required before you can rehire students via Unijobs?

No, there is no gap between assignments required when extending roles with Unijobs.

Unijobs Employee FAQ

1 ) Where do I find my Unijobs payslip? 

Please note you will receive your payslip the day before your payment is due with Unijobs. Your payslip will be password protected and will require you to use your personal PIN to access your details. Your payslip and your personal PIN will be emailed directly to you from The Unijobs Payroll Team.

Please note any queries in relation to your payslip must be submitted by 12 noon on the Monday following paydate. Please provide a detailed description of your query via email only to: (opens in a new window)payroll@unijobs.ie so that any amendments made can be processed in a timely manner. Any queries received outside of this timeframe will be processed in the next available payrun.

2 ) I’m employed by UCD as a Tutor but also work as a Student Ambassador with Unijobs.  What do I need to do to ensure my tax is correct?

Employees with more than one employment should contact the Revenue website for information on how to split their tax credits. 

 3 ) How do I add the Unijobs App to my phone?

Please note if you sign up or register to create a UTS account via your desktop you do not need to sign up or register on the app. You will be able to log in with your existing credentials created when registering via your desktop.

4 ) What are the Timesheet Deadlines?

The Timesheet Submission Deadline (Weekly Payroll) is Sunday at 5.00 pm each week. 

5 ) How long do I have to make a claim for pay? 

Pay claims must be submitted within the week of work. 

6 ) When is pay day?

Payday is Friday each week

7 ) Are Unijobs employees assigned to UCD entitled to paid sick leave?

Unijobs employees are not entitled to paid sick; however they may be entitled to Statutory Sick Pay (SSP). Qualifying criteria can be found on :(opens in a new window) https://www.workplacerelations.ie/en/what_you_should_know/leave/sick-leave/

8 ) Are Unijobs employees assigned to UCD entitled to paid annual leave?

Yes, Unijobs employees are entitled to paid annual leave, details are sent in the booking in email to the employees. 

9) Are Unijobs employees assigned to UCD entitled to pension?      

In 2025 there is no Unijobs pension; you can join a PRSA and in 2026, you'll be entitled to a new auto-enrolment pension, if you are between 23 and 60 years old, earn over €20,000, and don't already have a workplace pension.
