Interview Scheduler

Resourcing has implemented a new interview scheduler functionality within the Core HR system. This self-service functionality allows candidates to self-select their interview time slots through the eRecruitment Portal for external candidates and Employee Self Service for internal candidates. 

The Resourcing administrator will continue to liaise directly with the Hiring Manager to agree the date and times for interviews.  Resourcing will then create the schedule in eRecruitment and candidates will receive an email asking them to log in and self-select their preferred time.

The tool improves efficiency when scheduling interviews and provides candidates with greater flexibility in determining their interview time. The interview board also now have real-time access to the interview schedule.

Who is affected?

With effect from the 24th February 2021, all support (administrative), technical and research competitions will adopt the interview scheduler functionality.

The Resourcing administrator assigned to a competition will be able to advise on the new functionalities and will assist with the Resourcing process as normal.

How it works

Once the shortlist has been determined:

  • The Interview Board will provide the Resourcing administrator with the interview details as normal (for example: the date, time, presentation title (if required) & Zoom link).
  • The Resourcing administrator will then setup the schedule in the system.
  • Candidates will receive an email asking them to login either to ESS if an internal candidate or eRecruitment if an external candidate to select a timeslot under the “applicant history” section. Instructional text will be included in all invitations directing candidates how to select a timeslot.
  • Once the candidates select a timeslot they will receive an automated email confirming their interview date and time.

What happens next?

The Board will also be able to view, in real-time, when candidates have confirmed their attendance. Should they wish, the Board can then immediately export the schedule into Excel for review.

The schedule is visible under the “Interviews” tab in ESS. Select “all competitions”, click on the active competition and scroll down to the bottom of the page to export the schedule. A Board user guide is available below.

Pilot for Faculty Posts

The College of Health and Agricultural Sciences has kindly agreed to facilitate a pilot for faculty competitions which will also commence with effect from 24th February 2021. The pilot will focus on Lecturer/Assistant Professor & Associate Professor roles within the College.

The Resourcing administrator will liaise directly with the hiring managers from the Schools within the College to facilitate the pilot.
