The Employee Self Service system enables employees to access a wide variety of information, including Payslips, Pension information and Interview Packs. In this section, you can learn about the services available, how to access the system and how to resolve issues that may arise

Log in to Employee Self Service

  • Following the link above brings you to the login screen. Enter your UCD Connect username and password.
  • Please note, online timesheets users MUST go through the Hourly Set-up process before being able to claim online.
  • Users who have difficulty logging on MUST go through the ESS Login Troubleshooting Guide (below) before contacting HR.
  • If contacting HR please provide your UCD Connect username and your UCD personnel (P) number.

Regular Maintenance Window

There is a regular maintenance window on the ESS system every two weeks on a Wednesday night for four hours from 2200 Hrs (GMT). During these times ESS will be unavailable. The next window is 31st August 2022 and then every two weeks from this date.

Troubleshooting guide for common issues

If you are unable to login to ESS please follow these instructions:

Step 1: Do you have a valid UCD Connect username and password?

  • No - This system is restricted to staff and (paid) students with valid accounts. If you believe you are entitled to an account please contact UCD IT services helpdesk on ext. 2700
  • Yes - Proceed to 2.

Step 2: Are you typically able to log into UCD Connect with these credentials?

  • No - Please contact UCD IT services helpdesk on ext. 2700 for assistance.
  • Yes - Please proceed to step 3.

Step 3: Are you using a supported web browser? (ESS is supported in MS Internet Explorer versions 7.0+, and Mozilla Firefox 3.0+, Google Chrome & Safari)

  • No - Please install a supported web browser. If you need assistance installing this, please contact UCD IT services helpdesk on ext. 2700 for assistance.
  • Yes - Please proceed to step 4 & then step 5.

Step 4: Reset your UCD Connect password using the UCD IT Services '(opens in a new window)Password Self Service'

Step 5: Try to login to ESS again with your username & new password. Did this work?

  • Yes - Issue resolved
  • No - Please proceed to step 6.

Employee Self Service Options

Payslips

  • Step 1: In the menu on the left, click 'My Payroll' 
  • Step 2: In the My Payslips box click the date of the payslip you want, to see a summary of that payslip
  • Step 3: Click 'FULL PAYSLIP' the open the full online version of that payslip.

P60

  • Step 1: In the menu on the left, click 'My Payroll' 
  • Step 2: In the P60 Documents box go to the year you want and click 'VIEW'

**NOTE: Please ensure you close the P60 window when logging out**

Note: From January 2020, P60 is now replaced by the End of Year Statement issued by Revenue

Interview Board Packs for Board Members (eRecruitment)

  • Step 1: In the menu on the left, click My Recruitment 
  • Step 2: In the Interviews box go to the competition you want and click 'View'

Annual Leave & Flexi Time Tracking* (CoreTime)

  • In the menu on the left click 'My Flexi Time'

*Only available where Flexi Time is in operation

Frequently Asked Questions

Yes, this service is deployed using SSL (secure socket layers), an industry standard for encrypting data transmission over networks. 

As of 2020, UCD uses a multi-factor authentication system. You can learn more about this system on the IT Services website

No.

ESS is an 'off the shelf' package supplied with the CoreHR system. For operational purposes not all options are turned on for UCD staff at the moment. In-line with the university’s strategic plan for delivering secure information via web based self-service applications, UCD HR in conjunction with UCD IT Services will be further developing the services available through ESS.

If your unit uses CoreTime please contact your local CoreTime administrator in your unit. If your unit does not use CoreTime please contact your line manager.
